JOB PURPOSE: The Stock Controller is responsible for monitoring, controlling, and maintaining accurate inventory records for all hotel departments, including food and beverage, housekeeping, maintenance, and general stores. The role ensures optimal stock levels, minimizes wastage and losses, and supports efficient hotel operations through effective inventory management.
KEY RESPONSIBILITIES
Inventory Management
- Monitor and maintain stock levels to ensure uninterrupted hotel operations.
- Receive, inspect, and verify deliveries against purchase orders and invoices.
- Record all stock movements accurately in the inventory management system.
- Organize and maintain storerooms in a clean, safe, and orderly manner.
- Ensure proper storage of food, beverages, chemicals, linen, and other inventory items according to hotel standards.
Stock Control
- Conduct daily, weekly, and monthly stock counts.
- Reconcile physical stock with system records and investigate variances.
- Monitor inventory turnover and identify slow-moving or obsolete items.
- Ensure proper issuance of stock to departments based on approved requisitions.
- Implement measures to reduce waste, spoilage, theft, and overstocking.
Reporting and Documentation
- Prepare inventory reports, stock valuation reports, and variance analysis reports.
- Maintain accurate records of receipts, transfers, issues, and returns.
- Assist in month-end and year-end inventory audits.
- Provide management with timely information on stock levels and replenishment requirements.
Coordination
- Liaise with suppliers, procurement teams, and department heads regarding inventory requirements.
- Coordinate with the kitchen, housekeeping, engineering, and food & beverage departments to forecast stock needs.
- Support procurement activities by recommending reorder levels and quantities.
Compliance and Safety
- Ensure compliance with hotel policies, food safety standards, and inventory control procedures.
- Follow health, safety, and security regulations relating to stock storage and handling.
- Participate in internal and external audits as required.
SKILLS & COMPETENCIES
Diploma or Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, Accounting, or a related field.
Minimum 2 years of experience in stock control, inventory management, or stores operations, preferably within the hospitality industry.
Proficiency in inventory management software and Microsoft Office applications, particularly Excel.
Knowledge of hotel inventory practices and food and beverage stock controls is an advantage.
Strong numerical and analytical skills.
High level of accuracy and attention to detail.
Good organizational and time-management skills.
